Your attendee list controls who can log in to your event and what they see. You can add people one at a time, import them, or sync them from Certain Platform.
Add an attendee
- Click + New in the top right of the Attendees list.
- Fill in Login Email, First Name and Last Name. Only Last Name is needed to save, but the attendee can't log in without a login email.
- Click Save & View.
Note: Hidden gives someone app access without showing them on the attendee list. Hidden attendees can't use features that need a name, like attendee messaging and posting photos.
Set or change a password
Click Set Password next to "No Password" on the attendee's profile, or click Edit, then Manage Password under the login email. You can't set a password until a login email is saved. Passwords must be at least 14 characters, with an uppercase letter, a lowercase letter and a number. Save at the bottom. See How do I set or change an attendee's password?
If an attendee is locked out, see How do I unlock a locked-out attendee?
See whether a message was read
Click Messages on their profile. An open envelope shows next to messages they've opened.
Note: These sections only show on a profile when your event uses the feature: Credits once the My Credits feature is on, Check Ins once Allow Session Check-Ins is on in the Agenda feature, and Badges once you've created a badge.
Award or remove credits
Click Credits to see the sessions they earned credit for, then Manage Credits.
Click the check mark next to a session under Add a session to award credit, or the X under Awarded sessions to remove it, then click Update Credits. Removing a credit doesn't remove the check-in that earned it. If you want both gone, remove the check-in too.
Add or remove check-ins
Click Check Ins to see their session and exhibitor check-ins, then the button for the type you want to change.
Click the X under Existing Session Check Ins to remove one, or the check mark under Add A CheckIn to add one, then click Update Check Ins.
Award or remove badges
Click Badges, then Manage Badges.
Click the X under Awarded Badges to remove one, or the check mark under Add A Badge to award one, then click Update Badges. If the attendee still meets the badge's goal, a removed badge is awarded again.
Change someone's schedule
Click Schedule to see their My Schedule picks, then Manage Attendee Picks. You'll only see this button if Favorited Sessions is turned on in the My Schedule feature.
Click the X under Existing Sessions to remove a session, or the check mark under Add A Session to add one, then click Update Schedule.
FAQ
An attendee registered in Certain Platform but isn't in the app. What do I check?
First, make sure the Certain Platform event is integrated with your Touchpoint event. Nothing syncs until you submit the Touchpoint Integration Request form for that event. If it's integrated, check in Platform that the registration is Complete, isn't locked, and its status is set to sync to Touchpoint. Still missing after a few minutes? Contact Certain Support with the registration number. See How do Certain Platform and Touchpoint sync?
My attendee types (participant types) didn't come over from Platform. Why?
The integration may have "Ignore participant types" set to Yes. It needs to be No. Contact Certain Support and we'll update it and re-sync.
Can I delete attendees in bulk?
Yes. Check the box beside each name on the Attendees list, then delete. You can't delete attendees with an import.
I want someone off the attendee list, but I don't want to delete them.
Mark them Hidden. Their record stays, but they don't show on the list in the app.
An attendee disappeared and I don't know why.
Attendees are never removed automatically, so someone on your team deleted the record. Deleting an exhibitor doesn't delete the attendees linked to it.
How do I update attendees I already imported without making duplicates?
Go to Attendees > Export > All to Excel, edit the file, and import it again. Keep the ID column. Touchpoint uses it to update the existing attendee instead of adding a new one. Login status and anything attendees changed themselves stay as they are. The results screen may say "0 records have been successfully imported" even when it worked, so check the Attendees list to confirm.
Why could I import the same email twice?
A row without an ID comes in as a new attendee, even if that email is already in your event. Touchpoint allows this on purpose, for cases like an assistant registering several people, and there's no setting to block it. To update someone instead, use the export and keep the ID column (see above).
My personal itinerary import says some sessions don't match.
Session titles in your file have to match the agenda exactly. Look for double or extra spaces.
Can I merge a speaker profile with the same person's attendee profile?
No. Speakers and attendees are separate profiles, and each has its own login email. If someone is both, they log in as a speaker: they need their own password (the universal password won't work), and that password works in the app and the Speaker VIP Portal. See How do speakers log in to the app and the VIP Portal?
How do I remove someone from an exhibitor's lead scanning team?
In Showcase (your exhibitor list), click the exhibitor's attendee count. Check the box next to the person, then click Move > Remove selected from exhibitor. Don't use Delete on that page; it deletes the attendee.
Which details show on the attendee list in the app?
Fields from the Public Profile: Basic section of the record. Email isn't one of them.
My custom fields (like Business Unit) don't show on attendee profiles.
Go to Features/Menu, click Edit next to Main Navigation, open Attendees, then Edit Attendees Custom Fields. Set the field to Can Read (and Can Write if attendees should edit it). Don't see Edit Attendees Custom Fields? Custom fields aren't turned on for attendees in your event. Contact Certain Support.
Why does My QR Code say "Sorry, there is not a code available"?
The attendee's External Matching Code / QR Code is blank. Fill it in under QR Code/Lead Retrieval Profile on their record (or the Lead Code column in an import), and My QR Code shows their code. This is the code they use to check in to sessions and that exhibitors scan.
There's a QR code on the attendee's profile card. Is that the same as My QR Code?
No. Every attendee's profile shows a contact card with its own QR code, whether or not anything else is set up. That card is for swapping contact details in the Contacts feature. My QR Code is the one used for session check-in and lead scanning. Contacts and Lead Capture can't both be turned on in the same event.
Exhibitors can't scan some attendees' QR codes.
Scanning uses the attendee's External Matching Code / QR Code source (in the QR Code/Lead Retrieval section of their record, and the Lead Code column in exports). It's a different field from External Id. If it's blank, that badge won't scan. Export your attendee list and look for blank Lead Codes.
Can I remove the QR code from attendee profiles if we don't use badges or lead scanning?
Not the one on the profile card; there's no setting to hide it. You can leave My QR Code off your menu if you don't use check-in or lead scanning.
What's the minimum phone version for the app?
iOS 16.6 for iPhone and Android 10 for Android phones. Attendees on older versions should update their phone.
