While you may enter any and all information through our online dashboard, you may also wish to bulk upload content into our system. We have included all formats in one Microsoft Excel spreadsheet example - downloadable at the bottom of this article.
Separate spreadsheets ✓
Save your resources (agenda, exhibitors, speakers, etc.) as separate spreadsheets. For simplicity, we've included multiple resources on our example spreadsheet. When spreadsheets are uploaded, however, it will done one resource at a time.
Spreadsheet data begins top left ✓
Make sure your spreadsheet has data beginning in first column and the first row. There should be no cells above or to the left of your spreadsheet data.
Match spreadsheet headings exactly ✓
Be sure you are using Touchpoint's terminology for all of your spreadsheet uploads. Refer to the example spreadsheet (attached at the bottom of this article), and copy and paste headings to ensure you are using the exact same heading labels. For example, use the heading of "Name" and not "Session Name" for the column containing session titles.
Delete ✓ not hide
For columns containing data you will not be using, please delete the column. Do not hide it! Hiding the column may cause unintended data to be imported or uploads to fail. Hidden columns can create headaches when importing, so pare your spreadsheet down to include only information you need.
Remove any extra cells ✓
After you feel you've got all of your data entered into your spreadsheet, do a final review. Scroll to the right to make sure there is no unnecessary data past what should be your last column. Scroll to the bottom as well and make sure there is no unintended information entered in a row below the scope of your spreadsheet.
Importing Content
You can initiate an import from one of 2 places on the Event Dashboard:
- Start from the Feature where you would like to bulk upload content.
Select the feature where you would like to import content, then click Import > Excel in the upper right corner. - Start from the Import Content button under Related Resources on the left side menu.
Select the type of content you are importing from the Resource type dropdown menu.
- Attendee: Use this for bulk uploading Attendees / Attendee profile information.
- Note: If your event is integrated with Certain Platform or another 3rd party registration system, your attendees and attendee details should be managed there and synced over to Touchpoint.
- Event: Use this for bulk uploading Agenda Sessions / Session information.
- Note: If your event is integrated with Certain Platform or another 3rd party registration system, your sessions and session details should be managed there and synced over to Touchpoint.
- Exhibitor: Use this for bulk uploading Exhibitors / Showcase Items / Exhibitor/Showcase details.
- Notes:
- Exhibitor records are not synced over to Touchpoint from Certain Platform. If you have Exhibitors for your event, you will need to upload the Exhibitor information directly into Touchpoint.
- If your event is integrated with a 3rd party registration system where your Exhibitors are managed, your Exhibitors and Exhibitor details should be managed there and synced over to Touchpoint.
- Notes:
- Info: Use this for bulk uploading Info Items to be listed under the Info feature.
- Link: Use this for bulk uploading Links to be listed under the Links feature.
- Meeting: If you have added the 1x1 Meetings module to your package, you may use this for bulk uploading 1x1 Meeting details.
- Note: If your event is integrated with a 3rd party meeting management system, your meetings should be managed there and synced over to Touchpoint.
- Message: Use this for bulk uploading broadcast and/or individual messages.
- NewsStory: Use this for bulk uploading news stories to be listed under the News feature.
- Post: Use this for bulk uploading posts to be posted on the Discussion Board feature.
- Note: Bulk uploaded posts will list the Event Name as the author of the post in the app.
- ScheduledEvent: Use this for any of the following actions:
- Bulk assign existing agenda sessions to attendees' My Schedule using the Personal Itineraries template in the workbook attached at the bottom of this article.
- Change existing personal itinerary assignments using the CHANGE Personal Itineraries template in the workbook attached at the bottom of this article.
- Bulk upload private, off-agenda events (i.e., spa appointments, golf tee times, etc.) to an attendee's My Schedule using the Private Events template in the workbook attached at the bottom of this article.
- Speaker: Use this for bulk uploading Speakers / Speaker profile information.
- Note: If your event is integrated with Certain Platform or another 3rd party registration system, your speakers and speaker details should be managed there and synced over to Touchpoint.
- Survey: Use this for bulk uploading Surveys / Survey questions.
- Note: If you have not already indicated session survey attachments on your Agenda bulk upload spreadsheet, you must attach the survey(s) to the appropriate agenda session(s) under the Surveys feature in the Touchpoint CMS.
- Task: Use this for bulk uploading tasks to be listed under the To-Do List feature.
- Video: Use this for bulk uploading videos to be listed under the Videos feature.
- Attendee: Use this for bulk uploading Attendees / Attendee profile information.
If necessary, confirm the destination for the imported content selected on the Feature dropdown menu.
For example, if you have multiple Showcase buttons, and you are using the Exhibitor bulk upload, indicate which Showcase button your content should go to.
After initiating the import:
- Click Choose File, select the Excel file from your computer, then click Save.
- Verify your field mappings, then click Confirm.
- On the next screen, double-check your field mappings one more time, then click Import.
This will start the import process. If there are any errors found while uploading the spreadsheet, you will see the errors on the screen. Once the import is complete, you will see a message that says "# records have been successfully imported."
