Exhibitors and sponsors each get a page in your app with their logo, banner, contact details, links, videos, booth location and staff. You set them up in the Showcase feature (it may be renamed in your app, for example "Exhibitors").
Feature settings
Go to Features/Menu and open Showcase. Changes save as you make them.
- OFF - No Check Ins (do not show button)
- ON - Verify just with a code
- ON - Anytime, no additional verification
You can change the type on each exhibitor (see "Check-in codes" below).
Allow Exhibitor Related Links: each exhibitor can list web links and files. Related Links Section Header adds a heading above them. Allow Exhibitor Videos: each exhibitor can have videos. You can add a Videos Section Header, and turn on Allow Video Commenting and Allow Video Rating. Allow User Comments: attendees can comment at the bottom of an exhibitor page. Allow Exhibitors to be Favorited: adds a favorite button to each exhibitor page. Before Favorited Label renames the button. When an attendee favorites an exhibitor, a star shows on the button, the exhibitor shows on the Favorites tab, and its pin on the map shows a star. Launch Exhibitor profile links in an external browser: profile links open outside the app. Allow Exhibitor Attendees: exhibitors can have staff linked to them. Turn this on before you add booth staff or set up lead capture. Options:- Include Exhibitor Attendees in the general Attendee List: when off, staff show only on their exhibitor's page, not in the Attendees list.
- Allow Exhibitors to Manage Attendees in VIP Portal
- Exhibitor Attendees Section Header: the heading above the staff list on the exhibitor page (for example "Attending").
Add an exhibitor
Go to Showcase and click New. The form has these sections:
- Public Profile: Contact: Company Name, Contact Name, Telephone, Location (the booth) and Sponsor Level.
- Groups: the group terms that apply to this exhibitor.
- Internet/Social: Website, Email, Facebook, Instagram, LinkedIn and X (Twitter).
- Images: Icon, Header Banner and Header Banner URL.
- Settings: Hide Exhibitor, Check In Type and Check In Code, Lead Scanning, and the VIP Name and VIP Email for the VIP Portal. None of these show in the app.
- Links and Attachments, Videos and Description.
Set up the lists the form uses first:
- Booths: add locations under Manage Locations.
- Sponsor levels: add them under Showcase > Manage: Levels. The Sponsor Level field shows once at least one level exists.
- Groups: add a group under Manage Groups, set This group is for to Exhibitor, then click Edit Terms to add the choices.
What attendees see
On the exhibitor list, the Level tab groups exhibitors by sponsor level. Each row shows the icon, name, booth and group terms.
On an exhibitor page, from top to bottom:
- The Favorite and Check In buttons (if turned on)
- The header banner
- The name, booth and group terms, with the sponsor level and icon on the right
- Contact, Email, Telephone, Website and social links
- Links and attachments, then videos
- The staff list (if Allow Exhibitor Attendees is on)
- The description, then comments (if turned on)
If the booth is pinned on a map in the Maps feature, attendees can tap the booth name to see it on the map.
Images
When you add an icon or banner, crop it and click Approve Image, then save the exhibitor.
- Icon: square, 300 x 300 pixels (.png or .jpg)
- Header banner: wide and short, 960 x 300 pixels (.png or .jpg)
- Video thumbnail: 300 x 200 pixels (.png or .jpg)
Links and attachments
In Links and Attachments, click Add Related Link, enter a title, and pick Link (a web address) or File (for example a PDF or image). Tick Load in external browser to open that link outside the app.
Videos
In Videos, click Add Exhibitor Video. Pick a video you've already added (Choose Existing), or click Create and upload a video file with a title, description and thumbnail. You can't add a video by web address. Keep files small to save attendees' data.
Check-in codes
On the exhibitor, under Settings, set Check In Type to Use Feature Default, None, Code or Unverified. Left on the feature default, the exhibitor follows the Showcase setting. If you pick Code, enter the Check In Code and put it on a sign at the booth. Attendees tap Check In on the exhibitor page and type the code. Codes aren't case sensitive. A wrong code shows "Sorry, that code is not valid." Exhibitor check-ins are counted on your event dashboard.
Lead capture
See Lead Retrieval - Feature Setup and VIP Exhibitor Portal.
FAQ
I can't add people to an exhibitor.
Turn on Allow Exhibitor Attendees in the feature settings. This is the most common cause.
How do I import exhibitors?
Use the Bulk Upload template, Exhibitors tab. It has columns for the booth (Location Name) and its map, Sponsor Level, group terms, and the one VIP admin who gets the VIP Portal.
How do I add tabs or filters to the exhibitor list?
Create a group for Exhibitors under Manage Groups and add its terms. Each group has four switches: Include in List View Filters (adds it to the Filter menu), Include in List View Tabs (adds a tab), Display on List View Rows and Display on Detail View. To rename, reorder or hide the standard tabs, use Edit Showcase List Filter Tabs in the feature settings.
A company is both a sponsor and an exhibitor. Do I need two records?
No. Use one record and set its Sponsor Level. A company only shows twice if it has two records. If you do keep two, add a label to each name, like "Company - Sponsor" and "Company - Exhibitor".
Can exhibitor staff show in the main attendee list?
Yes. Turn on Include Exhibitor Attendees in the general Attendee List. When it's off, staff show only on their exhibitor's page.
How do I hide an exhibitor without deleting it?
Open the exhibitor, turn on Hide Exhibitor under Settings, and save. It no longer shows in the app.
What happens to staff if I delete an exhibitor?
They stay on your attendee list. Deleting an exhibitor doesn't delete the attendees linked to it.
Next step: If an exhibitor page still doesn't look right in the app, contact Certain Support with the exhibitor name and a screenshot.
