Attendance tracking lets your staff check attendees into sessions by scanning the QR code on their badge with the Touchpoint app. Touchpoint doesn't print badges or make QR codes; your badge provider does that.
Note: Attendance tracking is a paid add-on that Certain turns on. See Which Touchpoint features need to be turned on by Certain?
Step 1: Choose who can scan
Add Attendance Tracker to your menu (Main Navigation > Edit > Add Feature). Open it, and under Authorized email addresses, enter each staff member who will scan and click Add.
Step 2: Turn on session check-ins
- In Features/Menu, open Agenda and turn on Allow Session Check-Ins.
- Set the default check-in type to ON - Staff scans the attendee badge. If you don't pick a default, every session allows check-in at any time with no checks.
- To change the type for one session, open the session and set its Check In Type to Scan (other choices: Unverified, Code, Time Bounded, Code And Time Bounded, None).
Step 3: Match badges to attendees
Scanning works by matching the QR code to each attendee's Lead Code (also called the External Matching Code). Include a Lead Code column in your attendee upload, with a unique value for each person. If your event syncs from Certain Platform, the Lead Code fills in with the registration code.
Give your badge provider the same spreadsheet so they can build each QR code from the Lead Code.
Step 4: Scan at the session
Authorized staff log in to the app and open the session. They tap Check In, point the camera at the badge, and the attendee is checked in.
Printing badges yourself
If you print your own badges, here's how with a name badge template from avery.com:
- Choose a badge template. You'll see a blank badge.
- Click Import Data.
- Pick the fields to show on the badge, plus Lead Code, and click Next. Drag First Name and Last Name into Arrange fields, click Next, then Finish.
- Click More on the left, then QR and Barcodes. Set Code Type to text, then click the merge button under MERGE QR OR BARCODE.
- Drag Lead Code onto Enter barcode text, then click Finish.
FAQ
I don't see a check-in option on my sessions.
Turn on Allow Session Check-Ins under Features/Menu > Agenda first. Then set each session's Check In Type.
Can I allow check-in on only some sessions?
Yes. Set Check In Type to None on the others, including sub-sessions. Top-level (parent) sessions can't be checked into.
Scans are being rejected.
Check the Check-In Grace Period: it's how many minutes before and after the start time check-in stays open. With 0, check-in is open only from start to end time.
"Unknown Badge ID" when scanning.
The attendee may be hidden, or their QR code doesn't match their Lead Code. Export your attendees to find blank Lead Codes.
Does the Attendance Tracker work offline?
Yes. Scans upload during the app's normal sync once the device reconnects, so keep the app open until they've synced.
Where do I see who checked in?
Dashboard > Event Reports > Session Check In Overview.
How do I change check-in types for many sessions?
Export your agenda, edit the file (keep the ID column), and import it.
Check-ins aren't earning credits.
Add the My Credits feature to your menu (Main Navigation > Edit > Add Feature), then add the credit to each session. If you need several credit types or PDF certificates, that's the CE Credits Pro add-on (see Which Touchpoint features need to be turned on by Certain?).
Does Certain's Check-In app share check-ins with Touchpoint?
No, they work separately.
Next step: For check-in problems during a live event, contact Certain Support and mark it urgent.
