Lead capture lets exhibitor staff scan attendee badges in the app and collect their contact details. It's an add-on that Certain turns on. See Which Touchpoint features need to be turned on by Certain?
Step 1: Add Lead Capture to your event
Once it's turned on, go to Features/Menu, click Add Feature +, pick Lead Capture and click Add Feature.
Click the feature to rename the button, hide it, edit the lead form or disable the feature. If your event has participant types (an add-on), you can also limit who sees it.
Step 2: Set up the lead form
Click Edit Lead Capture Custom Fields. Click Add field for each question, give it a label, and choose its type: Text, Rating or Choice. Click Save.
Note: These questions apply to every exhibitor. Each exhibitor's VIP Admin can replace them with their own in the VIP Portal.
Step 3: Turn on lead scanning for each exhibitor
- Open the exhibitor and click Edit.
- Under Settings, set Lead Scanning to ON.
- Under VIP Portal, enter the VIP Name and VIP Email of the person who will manage the exhibitor's portal.
Step 4: Add booth staff
Staff need to be exhibitor attendees to scan. Allow Exhibitor Attendees must be on in the exhibitor feature settings.
- From the attendee: open their record, click Edit, pick the exhibitor under Move to Exhibitor and save. Use this for people already on your attendee list.
- From the exhibitor: in Showcase (your exhibitor list), click the exhibitor's attendee count, then New to create a new attendee linked to that exhibitor.
- From an import: in the Bulk Upload template's Attendees tab, put the exhibitor's exact name in the Exhibitor column.
- From the VIP Portal: the exhibitor's VIP Admin adds staff under Manage Attendees. This needs Allow Exhibitors to Manage Attendees in VIP Portal turned on.
To remove someone, click the exhibitor's attendee count, check the box next to the person, then click Move > Remove selected from exhibitor. Don't use Delete on that page; it deletes the attendee.
How exhibitors use it
The VIP Admin can change their lead form under Manage Custom Fields in the VIP Portal (Text, Rating or Choice fields), see and export their leads, and add staff.
Staff see Lead Capture in the app menu. Tapping it opens the scanner.
See VIP Exhibitor Portal for the full portal steps.
Step 5: Match badges to attendees
Each attendee needs a code in External Matching Code / QR Code (under QR Code/Lead Retrieval Profile on their record; it's the Lead Code column in imports and exports). The QR code on their badge must hold exactly the same value.
- Events that sync from Certain Platform: the Lead Code fills in with the attendee's registration code. If you print badges through Platform, use the Simple QR code option so the QR code holds only the registration code.
- Touchpoint-only events: add a Lead Code column to your attendee upload with a unique value for each person, like a registration number or email. Give your badge printer the same values for the QR codes.
Printing badges yourself
Touchpoint doesn't print badges. If you print your own, use any badge tool that can merge a spreadsheet column into a QR code, and put each attendee's Lead Code in the QR code exactly as it appears in your attendee export.
For example, in Avery Design & Print Online:
- Export your attendees (Attendees > Export > All to Excel).
- Open a name badge template, then click QR and Barcodes > Add Barcode or QR Code.
- Choose Spreadsheet or Sequential Number, click Import Data and pick your export.
- Keep the Lead Code column, choose QR Code as the code type, and drag Lead Code into the code box. Click Finish.
See Avery's steps in QR and Barcode Merge.
Download leads
Go to Dashboard > Event Reports > Lead Scanning (the Lead Capture item in your CMS menu opens the same report). It lists Scanned At, Name, Exhibitor and Organization, and you can add the Code column under Columns. Click Export to download. To see which exhibitors have lead scanning on, go to Showcase > Export > All to Excel. The Leads Enabled column shows Yes for each one that does. The export also lists each exhibitor's VIP admin under Admin Email.
FAQ
Lead Capture disappeared from my Features list.
Lead Capture can't be on at the same time as the Contacts feature. Turning on Contacts switches Lead Capture off. Disable Contacts, then open Lead Capture under Add Feature and click Restore Feature.
Lead Capture isn't in someone's menu.
Check that they're an exhibitor attendee, that their email isn't on two profiles, and that the exhibitor isn't hidden.
Some badges won't scan, or show as "Unknown Lead".
The QR code has to match the attendee's External Matching Code (Lead Code in exports). If it's blank, the scan can't match. Export attendees to find blank Lead Codes. In the Lead Scanning report, add the Code column to see what was scanned.
What details come with a lead?
The attendee's name, organization, job title, phone number and email, plus the answers to your lead questions. Their code and address aren't shown to the exhibitor.
Can more than one person use the VIP Portal?
No, only the VIP Admin. Any number of staff can scan.
Next step: For lead capture problems during a live event, contact Certain Support with the exhibitor name and the staff member's email.
