You copy an event in two parts: a template brings over the look and settings, and an export brings over the content. You'll need an empty event to copy into. If you don't have one, contact Certain Support and we'll create it.
Part 1: Copy the look and settings with a template
Make last year's event a template
- Open last year's event and click Edit in the upper right, next to the event title.
- Under Visibility, select Template (CMS only).
- Click Save Gathering.
The event now shows as a template in your events list and under Templates on the left side of your Organization Homepage. You can have as many templates as you like, and you can click a template to edit it like any event.
Heads up: An event marked as a template is hidden from attendees. If last year's event is still live, wait until after its end date before you mark it as a template.
Apply the template to your new event
You can only apply a template to an event in the Preview state.
- Open your new, empty event and click Edit in the upper right.
- Pick last year's event from the Apply Template list.
- Click Save Gathering. The home layout preview on your dashboard now shows the template's layout.
What a template copies
- Color theme settings
- Phone home layout, including images
- iPad home layout, including images
- Feature menu buttons, including button labels you changed
- Feature settings
- Credit types (My Credits)
Important: Applying a template overwrites these settings on the new event, and it can't be undone. Apply the template first, then build.
Part 2: Copy the content
A template doesn't copy content such as agenda sessions, attendees, speakers, showcase items (exhibitors and sponsors), info items, links, announcements, surveys, live polls, to do tasks, videos or activity feed posts. Copy content one of two ways.
Option A: Copy straight to the new event
Use this when the content can come over as it is. It works for agenda sessions, attendees, speakers, showcase items, messages, surveys, maps, info items, links, videos, announcements, groups and participant types.
- In last year's event, open the content page (for example, Speakers).
- Check the box next to each item you want to copy.
- Click Export, and under Copy Selected to a Future Event, pick the new event.
- Click OK.
- Open the same content page in the new event to check the items came over.
Agenda sessions copied this way don't bring their location, participant types, speakers, group terms, education credits, related links or live poll. Use Option B if you need those.
Option B: Export to Excel, then import
Use this when you want to change things first, like session dates and times, or when you need the details Option A leaves out.
- In last year's event, open the content page and click Export.
- Choose All to Excel, and save the file.
- Make your changes in the file.
- In the new event, open the same content page and click Import > Excel. Follow the steps to import your file.
FAQ
Can I apply a template to an event I've already built?
Yes, as long as the event is still in the Preview state. Applying it overwrites the settings listed in Part 1, so apply the template first, then build.
Who can mark an event as a template?
Any manager of the event.
I don't have an empty event to copy into.
Contact Certain Support. New events are created based on what your organization purchased. See How do I get a new event added to my Touchpoint app?
Can I copy badges?
Yes. On the Badges page, check the badges, then choose Export to [Event Name] from the Actions menu. The list only shows events in this app whose end date hasn't passed yet. If the event you want isn't listed, check its end date. Applying a template to a new event doesn't copy badges, so use Export to bring them over.
Next step: If something didn't copy the way you expected, contact Certain Support with both event names.
